# Fuelti

> Run every shift, nozzle and rupee at your fuel station.

- Category: Fuel station management
- Platform: Fuelti web panel
- Operating system: Web
- Built for: Fuel station owners, managers and dispensing staff.
- Works on: A desktop or phone browser
- Live at: https://fuelti.one08.tech

Fuelti replaces paper registers and scattered spreadsheets at petrol pumps with a single web panel. Each shift is started against its bay and nozzles, with a meter reading for every nozzle, and ends with the litres sold, the cash, UPI and card collected and any difference from what the meters say.

The Daily Sales screen opens on the day's summary, with the difference flagged where it needs a look. Managers send submitted shifts for review and compare what was received against what each shift expected before the day is settled. Reports cover any period from today to last month, and the day's report can be downloaded as an Excel file.

Credit sales are tracked as fuel loans against a borrower, with their vehicles, credit limit and repayments, and a payment is checked before it counts. Expenses are approved or rejected, and each station's pumps, bays, nozzles and sign-in users are set up in the same panel. It works in a browser on a desktop or a phone.

## Overview

Fuelti is a web panel for a petrol pump. It keeps every shift, every nozzle reading, every sale on credit, every repayment and every expense in one place, so the owner and the manager can see how the day went without opening a register.

A day at a pump has many small moving parts. Each dispensing staff member works a shift at one bay of a dispensing unit, takes money as cash, UPI and card, and some fuel goes out on credit. At the end, the litres on the meters should agree with the money collected. When they do not, someone has to find out why. On paper, that means registers, a calculator and a late evening.

Fuelti keeps those records as the day goes on. Meter readings are entered for each nozzle, the panel works out litres and amounts, and it sets what the meters say beside what was collected. Any difference is flagged. Nothing is hidden behind tabs: each screen shows the summary first and opens the detail when you ask for it.

### Principles

- **Summary first, details on demand.** A list row or a panel tells you what happened before you click anything. Clicking only adds detail.
- **Mismatches are flagged.** A difference between the meter and the money, or a loan figure that does not agree, is shown in red or amber. Normal numbers stay quiet.
- **Plain language.** Labels such as Meter says, Collected, Short by and Still to pay are written for station staff, not for accountants.
- **Checked before it counts.** Shifts are reviewed and approved, repayments are approved, and expenses are approved or rejected before they are final.

### Words used in the panel

- **DSM**: The dispensing staff member who works a shift at the pump. The panel uses this short form on its screens.
- **MPD**: A dispensing unit, the pump itself. Each unit has a name, such as MPD-1, and a station can have several.
- **Bay**: A position on a dispensing unit. Each bay has its own nozzles.
- **Nozzle**: One fuel hose, for petrol or for diesel. Each nozzle has its own meter.
- **Totaliser**: The running meter on a nozzle that counts the litres it has dispensed. The litres for a shift are the closing reading minus the opening reading.
- **Shift**: One staff member's working period on one bay. It starts with opening readings and ends with closing readings and the money collected.

Picture: The top of Daily Sales: litres, collections, difference and cash in hand.

## What it is

- The Fuelti web panel for fuel station owners, managers and dispensing staff.
- One place for shifts, nozzle readings, daily sales, shift reports, loans, payments, expenses and station setup.
- Set up per station, with its MPDs, bays, nozzles and users.
- Built around review: shifts, payments and expenses are checked before they count.

## What it isn't

- Not pump or dispenser control software: staff record meter readings in the panel.
- Not an accounting or tax-filing package: the daily report downloads as an Excel file for your accountant.
- Not a public or customer-facing app.

## A day at the station

- **Set the prices**: The day's petrol and diesel rates are set, so each shift's amounts can be worked out.
- **Start the shifts**: Each dispensing staff member starts a shift on a bay, with the opening reading for every nozzle.
- **End and submit**: At the end, closing readings and collections are entered and the shift is submitted.
- **Review**: Submitted shifts are sent for review, and what was received is compared with what each shift expected.
- **Follow the credit**: Loans given during the day sit against their borrowers, and payments received wait for approval.
- **Settle the day**: Daily Sales shows litres, collections, difference, net settlement and cash in hand. Download the report.

## How a shift is reviewed

A shift is not final when the DSM ends it. It moves through four statuses, and each step is done by someone with the right role.

1. **In progress**: The DSM starts a shift on a bay and enters the opening totaliser reading for each nozzle. If an opening reading does not match the previous shift's closing reading on that nozzle, the panel shows a totaliser mismatch warning.
2. **Submitted**: At the end, the DSM enters the closing readings, any test fuel and the money collected as cash, UPI, card and loan, checks the figures on a second step and submits. The panel works out litres, rate and amount for each nozzle and sets what the meter says beside what was collected.
3. **Sent for review**: A manager opens Shift Reviews and chooses Send for Review. They pick the submitted shifts, the repayments received and the expenses paid out, then enter the money they actually received in UPI, cash, card and fuel card. A note can be added.
4. **The difference**: The panel shows what was expected: the meter total, less credit sales, plus repayments received, less expenses paid. It sets that against what was received and says Short by, Extra or Matches in plain words, and the figures update as the manager types.
5. **Reviewed**: Sending the review moves the shifts to Reviewed. The repayments and expenses in it are locked to that review, so nobody can change them afterwards, and they stay pending until an admin approves them. Dispensing staff and managers can no longer edit a reviewed shift.
6. **Approved**: An admin approves each shift. Past reviews stay listed on the Shift Reviews screen and can be opened later to see exactly what was included.

Picture: Shifts waiting for review, each with the amount expected.

## How credit sales are tracked

Some customers take fuel on credit. Fuelti keeps each of those as a fuel loan against a registered borrower, so nobody has to remember who owes what.

1. **Register the borrower**: A manager or admin adds the borrower with a name, contact number, address, credit limit and one or more vehicles, such as a car, truck or tractor, each with its registration number.
2. **Issue the loan**: At the pump, the DSM finds the customer by vehicle number or mobile number, picks the vehicle, chooses petrol or diesel, enters the litres and the amount, and can attach a photo of the receipt. The loan is tied to the DSM's open shift.
3. **See what is owed**: The loan appears on the Loans screen and on the borrower's profile as Outstanding, with the amount still to pay. The credit limit is shown beside the balance as a guide.
4. **Record a repayment**: When the borrower pays, a manager records the payment and how it was made: cash, UPI, card, bank transfer, cheque or online. One amount can also be spread across several loans, starting with the oldest.
5. **Approve the payment**: A payment starts as pending. It counts toward the loan only after an admin approves it. Then the loan moves to Partially Paid or Paid and the borrower's balance falls.
6. **Follow up**: The Loans screen filters by Needs action, Pending, Paid or All, and can show only the loans that have a payment waiting for approval, which are also flagged in the table.

## How Fuelti looks, and what you do on each screen.

Real screens from the product, filled with sample names and figures, so the pictures show the layout rather than a real station. Each screen comes with a plain description, what you can do there and why it matters.

### Sign in

![Fuelti web panel, Sign in screen with tenant ID, username and password](https://one08.tech/products/fuelti/login.webp)

**What you see.** A page split in two. The left half is dark and carries the name Fuelti Admin, the line Fuel station management, simplified, and three ticked points: fuel loan creation and tracking, payment approvals and history, and multi-station management. The right half is plain white with a Welcome back heading and a short form: Tenant ID, Username and Password, with a control to show the password, above one orange Sign in button.

**What you can do.**
- Enter the station's Tenant ID, your username and your password, then press Sign in.
- Show the password while typing to avoid mistakes.
- Land on the screen your role is meant to use: Daily Sales for managers and admins, the Service screen for dispensing staff.

**Why it matters.** The Tenant ID ties every sign-in to one station, so each station's records stay apart from every other station's.

### Daily Sales

![Fuelti web panel, Daily Sales screen with litres sold, collections, difference and net settlement](https://one08.tech/products/fuelti/dashboard.webp)

**What you see.** A dark title bar reads Daily Sales, with the line Summary, shifts, loans, and trends for the day, and three buttons on the right: Download Report, Set Prices and Start Shift. Below sit date shortcuts for Today, Yesterday, two days ago and three days ago, plus a date picker. The day's card shows the date and the petrol and diesel rates per litre as two small tags. Under it is a row of totals: petrol sold, diesel sold, collected, difference (shaded, and marked needs review when it is not zero), net settlement, net cash in hand and net cash including recoveries, with a count of recoveries still pending. A strip of tags counts the shifts In progress, Submitted, Reviewed and Approved, with the number of loans given that day on the right. Four charts follow: difference per DSM, petrol against diesel, collections by DSM and collections by payment type. The Shifts list at the bottom has a search box and one row per shift.

**What you can do.**
- Switch between today and the last three days, or pick any date.
- Read litres sold, the amount collected and the difference at a glance. Net settlement is what was collected minus what went out as loans, and net cash in hand is net settlement minus expenses.
- See how many shifts are in progress, submitted, reviewed or approved.
- Search the shifts by DSM, MPD, bay or status, and open any row to see its details.
- Set the day's prices, start a shift, or download the day's report as an Excel file.

**Why it matters.** The owner or manager can answer how the day went in one look, and see straight away where the money does not match.

### Shift details

![Fuelti web panel, Shift details panel with nozzle readings and money summary](https://one08.tech/products/fuelti/shift-detail.webp)

**What you see.** Opening a shift slides a panel in from the right, over the list. The top shows who ran the shift, the dispensing unit and bay, the date, the length of the shift and a status tag, with Edit and Send for review buttons and a delete button. Below is a timeline with a Started point and an Ended or Submitted point, each with date, time and name, then four small tiles: litres sold, total sales, sales per hour and test fuel, marked Not billed. A red banner flags a loan mismatch when the loan figure does not agree, and a second banner appears if a nozzle's opening reading does not match the previous shift's closing reading. The Nozzle Readings table lists each nozzle with start and end readings, test fuel, litres sold, rate and amount, and a total row. Money Summary shows what the meter says, what was collected, the difference and the loan difference. Fuel Sold splits petrol and diesel into litres, amount, rate per litre and test fuel. Receipts, loans given and notes follow further down.

**What you can do.**
- Check each nozzle's opening and closing readings and the litres and amount worked out from them.
- Compare what the meter says with what was collected, and read the loan difference.
- Correct a shift's readings and collections while its role and status still allow edits, or send it for review once it looks right.
- Open the photos attached as receipts, and read the loans given during the shift and any notes, all in the same panel.

**Why it matters.** Everything about one shift is in one panel, in plain words such as Meter says, Collected and Difference. Nobody has to add up a register.

### Shift Reviews

![Fuelti web panel, Shift reviews screen listing shifts waiting for review](https://one08.tech/products/fuelti/shift-reviews.webp)

**What you see.** A dark title bar reads Shift Reviews, with the line Check what you received against what the shifts expected, and an orange Send for Review button. Below, a Waiting for review list covers the last 30 days and is grouped by date. Each row is one submitted shift: the DSM, the dispensing unit, the bay and the start time on the left, and the word Expected with an amount on the right. Under it, a Past reviews list shows the reviews already sent, or a short note that none have been sent yet.

**What you can do.**
- See every submitted shift that still needs a review, newest day first.
- Choose Send for Review to open a panel: pick shifts, repayments received and expenses paid, then enter the money received in UPI, cash, card and fuel card.
- Watch the expected total, the received total and the result (Short by, Extra or Matches) change as you type.
- Add a note and send. Open a past review later to see what it included and, if you are an admin, approve its shifts.

**Why it matters.** The manager settles a day against the money in hand, not against memory, and the check is kept as a record.

### Fuel Loans

![Fuelti web panel, Fuel loans screen with filters for needs action, pending and paid](https://one08.tech/products/fuelti/loans.webp)

**What you see.** A title bar reads Fuel Loans, with a New loan button. A card below holds date shortcuts (Today, Yesterday, Last 3 days, Last 7 days, Last month, This month) and a custom range. A strip of five figures follows: all pending loans, still to collect, given in range, collected in range and payments waiting for approval. Next come a search box for name, phone or vehicle, filter buttons, a Given by selector and a Needs approval only checkbox. The table lists each loan with its date, customer, vehicle, fuel and litres, amount, paid, left, who gave it, flags and a status tag such as Outstanding.

**What you can do.**
- Pick a period and see what was given, what was collected and what is still to collect.
- Filter to the loans that need action, or to those with a payment waiting for approval.
- Search by customer name, phone number or vehicle.
- Sort by date, amount or balance, and open a loan to see its payments and receipts.
- Create a new loan, or edit one if you are an admin.

**Why it matters.** Credit is the part of a station that is easiest to lose track of. This screen keeps what is still to collect in front of you.

### Borrowers

![Fuelti web panel, Borrowers screen with search by name, contact or vehicle](https://one08.tech/products/fuelti/borrowers.webp)

**What you see.** A title bar reads Borrowers, with the line Click a borrower to see loans, payments and vehicles, and an Add borrower button. A wide search box below takes a name, contact number or vehicle. The table has one row per borrower: a running number, the name with the email underneath, the contact number, the amount still to pay in red, and the registered vehicles as small plate tags. The name, contact and still to pay columns can be sorted.

**What you can do.**
- Search for a customer by name, contact number or vehicle number.
- Sort by who owes the most.
- Add a borrower with contact details, a credit limit and vehicles.
- Click a row to open the borrower's profile.

**Why it matters.** A customer at the pump can be found in seconds, with what they owe in plain sight.

### Borrower details

![Fuelti web panel, Borrower details panel with credit limit, vehicles and loans](https://one08.tech/products/fuelti/borrower-detail.webp)

**What you see.** Clicking a borrower opens a panel from the right with the name, contact and an Edit details button. A row of four figures follows: still to pay, credit limit, recovered so far, and loans as pending out of total. Below on the left is a Contact block with phone, email, address and notes. On the right is a Vehicles block, where each vehicle shows its plate and description with an orange Petrol loan and Diesel loan button. At the bottom, a Loans block with a Bulk payment button lists the loans in two groups, Pending and Paid. Each row shows the date, the vehicle, the fuel and litres, the amount, the amount still to pay and a status tag: Outstanding, Partially Paid or Paid.

**What you can do.**
- Read the balance, the credit limit and how much has been recovered.
- Start a petrol or diesel loan for a vehicle with one click.
- Open any loan to see its payments, and record a payment.
- Use Bulk payment to enter one amount that is spread across the oldest loans first.
- Edit the borrower's details and vehicles.

**Why it matters.** Everything about one customer's credit is in one place, so a repayment can be recorded without searching through lists.

### Payments

![Fuelti web panel, Payments screen with cash, card and UPI totals and payments waiting for approval](https://one08.tech/products/fuelti/payments.webp)

**What you see.** A dark title bar reads Payments. A card below holds date shortcuts and a custom range. A Snapshot row shows five cards: total received, number of payments, cash, card and UPI, each with a count and an amount. Two tabs follow, All pending and All, each with a count. The list shows each payment with the borrower, how many of their payments are pending, the amount, and an Open borrower button.

**What you can do.**
- See what was received in a period and how it splits into cash, card and UPI.
- Switch between payments still pending and all payments.
- Open a payment to see its mode, date, who received it, the loan it belongs to and the borrower, and approve it if you are an admin.
- Jump to the borrower from any payment.

**Why it matters.** A repayment only counts once it has been checked. This screen shows what is waiting, so nothing stays pending by accident.

### Expenses

![Fuelti web panel, Expenses screen with trend by status and breakdown by type](https://one08.tech/products/fuelti/expenses.webp)

**What you see.** A title bar reads Expenses, with a Create Expense button. Date shortcuts and a custom range sit below. Five figures follow: total, pending (awaiting approval), approved, rejected and approval rate, each with a count. A line chart called Expense Trend shows daily totals for approved, pending and rejected expenses. Two panels sit beneath it: Expense Breakdown by Type, a ring chart with a list of types, amounts and shares for approved expenses, and Expense Status Breakdown, with one bar each for pending, approved and rejected.

**What you can do.**
- Create an expense with a type, a date, an amount and notes. The types are salary, electric bill, food expense, equipment purchase, housekeeping, miscellaneous, tips and transport.
- Change an expense while it is still pending.
- Approve or reject pending expenses, if you are an admin.
- Read the trend and the breakdown to see where the money went.

**Why it matters.** Money that leaves the till is recorded, approved by an admin and counted in the day's cash, instead of being remembered later.

### Reports

![Fuelti web panel, Reports screen with revenue, collections by method and daily volume](https://one08.tech/products/fuelti/reports.webp)

**What you see.** A dark title bar reads Reports, with a Daily Sales shortcut button. Date shortcuts and a custom range sit below. Two rows of cards follow: revenue by meter, collected, difference (shortfall), diesel litres and petrol litres, then shifts with approved and reviewed counts, net settlement, net cash in hand and net cash including recoveries, with a count of pending items. Status tags count the shifts by status. A Collection Breakdown panel shows cash, UPI, card and loan as bars, each with an amount and a percentage. Charts below show daily revenue against collected, daily collection by method and daily volume dispensed in litres.

**What you can do.**
- Pick a period, from today to last month or any range you choose.
- Compare revenue by meter with what was collected, and see the difference.
- See how collections split between cash, UPI, card and loan.
- Narrow the report to one DSM, and read the totals by DSM and by MPD.
- Jump back to Daily Sales for a single day.

**Why it matters.** Patterns that are invisible on one day, such as a DSM whose shifts often come up short, show over a week or a month.

### Station setup

![Fuelti web panel, Station settings screen with pumps, bays and nozzles](https://one08.tech/products/fuelti/station.webp)

**What you see.** A Settings sidebar on the left lists Station and Users, with a Back to app button above them. The page is titled Fuel Station, with the line Manage station details and MPD layout. A dark card shows the station's name and short id with an Edit button, and below it the address, phone and email. The MPDs and Nozzles panel counts the units, bays and nozzles and has an Add MPD button. Each MPD is a block with Update and Delete buttons, split into bays that each have a Rename button. Each bay lists its nozzles with the fuel, the nozzle number, and the totaliser reading with the date it was last updated.

**What you can do.**
- Edit the station's name, address, phone and email.
- Add a dispensing unit, update it, or delete it.
- Rename a bay.
- Read the latest totaliser reading for every nozzle.
- Open Users to add staff and set their roles.

**Why it matters.** Every shift uses these records, so the layout of the real station is set up once and reused every day. Only admins see this screen.

## Features

### Shifts and sales

How a day at the pump is recorded, checked and summed up.

- **Shift management**: Start a shift for each DSM and bay, then follow it from In progress to Submitted, Reviewed and Approved. Each shift opens to its timeline, nozzle readings, money summary and fuel sold, with a loan mismatch flag where the loan difference is not zero. A shift belongs to one DSM, one dispensing unit and one bay. It starts with an opening reading for each nozzle and ends with closing readings, test fuel and the money collected as cash, UPI, card and loan. The statuses are In progress, Submitted, Reviewed and Approved. If an opening reading does not match the previous closing reading, or the loan figure does not agree with the loans recorded for the shift, a warning banner says so. Editing depends on role and time. A DSM can correct their own shift on the same day, a manager can correct a shift that has not been reviewed within three days, and an admin can correct a shift at any time. Admins can also delete a shift. Picture: A shift's timeline and totals, with a red banner where the loan figure does not agree.
- **Nozzle readings**: Every shift records the start and end meter reading for each nozzle. Litres sold, the rate and the amount are worked out per nozzle, and test fuel is kept out of what is billed. Readings are typed in as the litres shown on each nozzle's totaliser. Litres sold are the closing reading minus the opening reading, less any test fuel, and the amount is those litres times the day's rate for that fuel. Test fuel, which is fuel drawn for testing and not sold, is shown but not billed. A photo of the totaliser can be attached for each nozzle as a receipt, and opened later from the shift. Picture: Nozzle readings: opening and closing reading, litres, rate and amount for each nozzle.
- **Shift reviews**: Send submitted shifts for review, then compare what was received against what each shift expected. Reviews are done in a batch. A manager picks submitted shifts, the repayments received and the expenses paid, enters the money received in UPI, cash, card and fuel card, and sees the result as Short by, Extra or Matches before sending. Past reviews stay on record. The steps are set out in How a shift is reviewed above.
- **Daily Sales**: Petrol and diesel litres sold, collections, difference, net settlement and net cash in hand for the day, with charts by DSM and by payment type. Download the day's report as an Excel file. The top row shows petrol and diesel litres sold with their amounts, the total collected, the difference, net settlement (collected minus loans), net cash in hand (net settlement minus expenses) and net cash including loan recoveries. Today's petrol and diesel rates sit beside the date. Four charts break the day down by DSM and by payment type, and the Shifts list below opens any shift. The report for the day downloads as an Excel file. Picture: Daily Sales charts: petrol against diesel, collections by DSM and by payment type.
- **Fuel prices**: Set the day's petrol and diesel rate per litre, so each shift's amounts are worked out from the rate in force. Petrol and diesel each have a rate per litre for the day, and today's rates show on Daily Sales as two small tags. A shift cannot be reviewed until the rate for its date has been set.

### Money in

Repayments received from credit customers.

- **Payments**: Cash, card and UPI payments received against loans, with totals for the period and a list of payments waiting for approval. Open the borrower from any payment. Payments are the money received against fuel loans, by cash, UPI, card, bank transfer, cheque or online. A payment is recorded by a manager and stays pending until an admin approves it; only approved payments reduce a loan balance, and an admin can reject a payment instead. The screen shows the total received for a period, the number of payments and the split into cash, card and UPI, with tabs for pending and all payments. Open a payment to see who received it and the loan it belongs to. Picture: Payments received in a period, split by cash, card and UPI.

### Credit and borrowers

Fuel given on credit, and the customers who owe it.

- **Loans and borrowers**: Credit sales with customer, vehicle, fuel, amount, paid and balance. Filter by Needs action, Pending or Paid, and see which loans have a payment waiting to be approved. Each loan records the customer, the vehicle, the fuel and litres, the amount, who gave it and, when it was given during a shift, the dispensing unit. Its status moves from Outstanding to Partially Paid to Paid as approved payments come in. A strip at the top shows all pending loans, what is still to collect in the chosen period, what was given and collected in it, and the payments waiting for approval. Admins can edit a loan. Picture: Fuel loans at a glance: what is pending, still to collect and waiting for approval.
- **Borrower profiles**: Each borrower shows the still-to-pay balance, credit limit, amount recovered, contact details and vehicles, with a one-tap Petrol loan or Diesel loan for each vehicle and a bulk payment option across their loans. A profile shows the balance still to pay, the credit limit as a guide, the amount recovered so far and the number of pending and total loans, with contact details, notes and vehicles beside them. Each vehicle has a Petrol loan and a Diesel loan button for a quick new loan. Loans are listed as Pending or Paid, and a Bulk payment button spreads one amount across the oldest loans first. Vehicles can be a car, motorcycle, truck, auto rickshaw, bus, tractor or other. Admins can remove a borrower.

### Costs

Money that leaves the station.

- **Expenses**: Record expenses by type, such as salary, electric bill or food, then approve or reject them. A status trend and a breakdown by type show where the money went. An expense has a type (salary, electric bill, food expense, equipment purchase, housekeeping, miscellaneous, tips or transport), a date, an amount and notes. New expenses are pending, and only pending expenses can be changed. An admin approves or rejects them. A trend chart and a breakdown by type and by status show where the money went. Expenses can also be included in a shift review, which locks them to it. Picture: Expenses by type, and by pending, approved and rejected.

### Reports

The same numbers over a longer period.

- **Shift reports**: Reports for today, yesterday, the last 3 or 7 days, this month or last month. Collections are split into cash, UPI, card and loan, with totals by DSM and by MPD, and charts of revenue against collected and litres dispensed. Reports cover today, yesterday, the last three or seven days, this month, last month or a range you choose. They show revenue by meter, what was collected, the difference, litres of each fuel, net settlement and net cash, a split of collections by method, charts for each day, tables by DSM and by MPD, and a watchlist of shifts with a large difference. The Reports screen is for reading on screen; the Excel download is on Daily Sales. Picture: Reports: net settlement and cash in hand, and how collections split by method.

### Stations, users and access

Who uses the panel, and the pumps it describes.

- **Stations and nozzles**: Set up the station details, MPDs, bays and nozzles, with the totaliser reading for each nozzle. Rename bays and add or update MPDs as the station changes. A station is set up once: its name, address, phone and email, then its dispensing units, the bays on each and the nozzles on each bay, with the fuel each nozzle gives. The panel shows each nozzle's latest totaliser reading and the date it was updated. Bays can be renamed, and units can be added, updated or deleted as the station changes. Station setup is for admins.
- **Users and sign-in**: Staff sign in with a tenant ID, username and password. Admins, managers and dispensing staff each get the access their role needs, and the station's users are managed in settings. An admin adds users in Settings with first and last name, username, email, phone number, password and a role: DSM, Manager or Admin. Admins can reset a password or remove a user. Every sign-in needs the station's Tenant ID, a username and a password.

## Highlights

- Daily sales at a glance
- Nozzle meter readings per shift
- Shift review before settlement
- Loans, borrowers and payments
- Expense approval flow
- Reports with Excel download

## Roles and access

Every user has one role, and each role sees only the screens it needs. A manager has the abilities of a DSM, and an admin those of a manager, though each lands on the screen that suits its work. Access is checked on the server as well as in the menu.

### Dispensing staff (DSM)

Works at the pump.

- Signs in to a Service screen made for use at the pump. Daily Sales, Reports and Payments are not shown.
- Finds a customer by vehicle number or mobile number and issues a fuel loan, with a receipt photo if wanted.
- Starts and ends their own shifts: opening readings, closing readings, test fuel and the money collected.
- Corrects their own shift on the same day, until it is reviewed.
- Sees their own shifts and a monthly summary.

### Manager

Runs the day.

- Lands on Daily Sales, and also sees Reports, Shift Reviews, Loans, Borrowers, Payments and Expenses.
- Sends shifts, repayments and expenses for review.
- Adds and edits borrowers, records repayments, and creates and updates expenses.
- Corrects a shift that has not been reviewed, within three days.

Not available:
- Approve payments, expenses or shifts.
- Open Station setup or Users.

### Admin

Owns the station's records.

- Does everything a manager does, and can correct a shift at any time.
- Approves or rejects payments and expenses, and approves shifts.
- Sets the day's fuel prices.
- Edits loans, and deletes borrowers or shifts when needed.
- Sets up the station, its dispensing units, bays and nozzles, and adds users, resets passwords and removes users.

On a phone, the panel adapts to the small screen and uses a bottom menu, so dispensing staff can open the Service screen in a phone browser at the pump.

## Questions a station owner asks.

### Does Fuelti work for more than one station?

Yes. Each station is set up as its own workspace, with its own Tenant ID, users, shifts and records, kept apart from every other station. If you run several stations and want to see how they would be arranged, write to us and we will go through it with you.

### Who can approve shifts, payments and expenses?

Admins approve shifts, repayments and expenses. Managers send things for review and record repayments and expenses, and dispensing staff record their own shifts and loans. A reviewed or approved shift can no longer be edited by managers or dispensing staff.

### What reports does it give me, and can I export them?

Daily Sales shows the day's litres, collections, difference, net settlement and cash in hand, and its report downloads as an Excel file. The Reports screen covers any period from today to last month, or a range you choose, with collections by method, charts for each day, and totals by DSM and by MPD. It is read on screen.

### Does it need special hardware?

No. It runs in a web browser. Staff type in the meter readings and can attach a photo of the totaliser, and the panel does not connect to the pump or dispenser itself.

### Can my staff use it on a phone?

The panel adapts to small screens, and dispensing staff have a Service screen for issuing fuel loans and for starting and ending shifts that works in a phone browser.

### How are users added, and what can each role do?

An admin adds users in Settings with a name, username, email, phone number, password and a role: DSM, Manager or Admin. Admins can reset a password or remove a user. The Roles and access section above lists what each role can do.

### Is my station's data kept separate from other stations?

Yes. Every record belongs to one station, and signing in needs that station's Tenant ID, so one station's shifts, loans and expenses are not mixed with another's.

### How do I get started?

Write to us from the contact page or by email or phone. We will ask about your station, such as how many dispensing units and staff you have and whether you give credit, and reply with an honest view of how Fuelti would fit and a sensible first step.
